How To Light Up Your Event

When it comes to holding an event there are a lot of things to consider.

And if you have put an event together before, large or small you will know that the event lighting is a lot more complicated than it sounds.

You will need to consider the placement and density of your lights, coloured light up letters and numbers.

We know it can be an overwhelming part of your planning process, so we are here to help.

1. Ask Questions.

Like, How many guests? What are the room dimensions?, Will the vendors be setting up and breaking down at the same time?,Is there a budget for the lighting?

2. Creating the layout.

You can create the lighting design for a room layout, when creating your layout, you should include all the major elements that will be present on the floor, tables, dance floor and stage. This lighting design will help you get a better sense of what type of light up numbers and letters you may need and where to position them.

3. Use Colour.

Speaking of colour, using coloured light up numbers and letters at an event can set the mood and have a significant impact on the guest experience. Its all about ambiance :)

Selecting the right venue for your event.

When planning your event, whether it is a wedding, 21st celebration, corporate function or a special birthday celebration, getting the venue right is crucial. Whether it’s a large or small celebration, the venue choice can really make or break an event.

Here are 6 tips that may help you make things a little easier :)

Location

One of the most important things about your event is its location. It should have good transport links and plenty of parking.

A venue that is easily accessible is very important as it can help prevent guests from arriving late, getting lost, or not showing up at all.

Size of Venue

Firstly you need to confirm the number of guests expected to attend your event It is essential that the venue’s size and capacity is right; too small and you risk being overcrowded and uncomfortable, too big and your guests look lost.

Food and Drink

If the menu is good, it will be one of the things your guests will be talking about long after the event has taken place.

Whether it’s canapés, a three course meal or a drinks reception, make sure there is something to suit everyone’s tastes.

Remember to offer vegetarian alternatives and see if the venue can cater for those with special requirements such as food allergies.

Technology

The majority of good conference/meeting venues will have high quality AV equipment and choose somewhere that offers Wi-Fi as there’s no doubt many of your attendees will want to use their laptops, tablets and smart phones.

Reputation

Before choosing a venue, make sure you’re happy with the all of the facilities, staff and customer feedback.

You know you’re in good hands if the service is outstanding, and your guests are far more likely to enjoy the event.

Date and Time

It may be obvious, but before you fall in love with a venue, check that it is available on the date and time you require it.

Tips to help your event run smoothly

Lists will be your best friend when planning an event. Start with a logical list of the key things to be done – from finding and booking a venue to catering, entertainment and deciding on a theme.

From there, you can break down each element into further steps to be taken.

This also helps make everything feel a little bit more manageable, especially when you can start ticking things off and see the list becoming shorter and shorter.

It’s also a good idea to prioritise tasks, which will help you quickly identify the most urgent and pressing actions to complete.

Once you’ve found the ideal venue, get it booked! Venues get busy so quickly also It always pays to shop around and compare prices.

If the venue doesn’t include catering, hiring external caterers will be a priority. Talk to two or three different caterers to find out what they can provide for the budget you’ve allocated, and then book the one that best answers your needs and the one that feels most ‘right’ for you.

Depending on what kind of entertainment you’re planning, DJs, live bands and entertainers will also be key suppliers to secure. Price will, of course, dictate choice to some extent but do also check testimonials, video clips of performances etc to help in your decision making.

And lastly, don’t forget the small details: make sure there is a working microphone if speeches are to be made, remembering to order awards if your company party is doubling as an awards ceremony, or booking a photographer to capture every moment of the event, making sure you’ve covered every last detail is crucial – keep checking those lists!

And most importantly, enjoy your event and keep on smiling!
